INSTRUCTIONS TO RESPONDENTS

1. Notice of Solicitation

This Request for Proposal (RFP) is to obtain responses from caterers and vendors to provide meal services for _ARCHIMEDEAN ACADEMY INC., (SPONSOR/SFA). Child Nutrition Programs operated will include the United States Department of Agriculture’s (USDA) National School Lunch Program (NSLP) for the programs checked below:

ARCHIMEDEAN ACADEMY INC., (SPONSOR/SFA) is a PUBLIC CHARTER (public, charter, private) school located in MIAMI, Florida. The goal of the Food Service Program is to provide a healthy and balanced meal to students.

2. Proposal Submission

Responses should address each of the requirements outlined in this RFP. Please provide the requested information no later than 3:00 PM EST on AUGUST 8, 2024 to the address below. Responses will be evaluated per the criteria specified in subsection 4, below.

4. Evaluation Criteria

Proposals received will be reviewed to ensure all material have been submitted as specified in this RFP. The evaluation of proposals will be conducted following the below criteria. Contract award decisions will be made based on the vendor that attains the greatest overall proposal score.

  • Per Meal Charge 35 Points
    The sponsor will provide the number of meals served per day based on the sponsor’s meal counts of the POS database information. The caterer will invoice weekly, based on the number of meals sold for the week, at a rate that will be the same for breakfast or lunch meals served.
  • Company Experience 10 Points
    The caterer is to provide supporting documentation or references of prior experience.
  • Food Preparation, cooking, and serving at the sponsor’s location. 35 Points
    The caterer is to provide all raw materials, pre-cooked, dry, fresh or frozen, or other for meals to be prepared and cooked and ready to be served at the sponsor’s location facilities by employees provided by the sponsor.
  • Copies of all invoices of materials purchased and shipped to the sponsor 20 Points
    All invoices related to purchasing of products and materials shipped to the sponsor’s location for the preparation and serving of cooked meals including condiments, straws for milk, napkins, single service ware, and serving utensils should be provided to the sponsor weekly together with the Caterer’s weekly meal charging Invoices. These invoices will be used only as proof of evidence that the materials used are in line with NSLP requirements
